Ray White Gympie: Lease Termination and Vacating Procedure

If you, as a tenant, need to terminate your lease agreement early, it is crucial to notify Ray White Gympie in writing without delay. You will need to fill out the “Agreement to Terminate Fixed Term Tenancy” form. Please be aware that this form is provided as a general guideline. Once you inform your Relationship Manager, they will supply you with a customized form that is appropriate for your situation. This form will subsequently be submitted to the property owner for their approval.

When terminating your lease early, you will be responsible for the following fees:

Break Lease Costs

Reletting Costs Calculation (for fixed-term tenancies starting on or after 30 September 2024):

Calculated based on either:

  • The duration of the tenancy that has expired, or
  • Rent payable until a new tenant moves in,
  • Whichever is lesser.
  • No additional reletting costs can be charged to the tenant.

For Tenancies Before 30 September 2024 :

  • Reletting costs terms remain compliant and applicable until the agreement ends.

Exceptions :

Reletting costs do not include:

  • Unpaid rent arrears,
  • Service charges (e.g., water, gas),
  • Damages for which the tenant is responsible.

Calculating Reletting Costs (Agreements Over 3 Years)

Costs calculated based on the lesser of:

  • 1 month’s rent for each remaining 12-month period (up to a maximum of 6 months’ rent), or
  • Rent payable until a new agreement begins after the premises are relet.

If you intend to conclude your tenancy at the end of your lease term, please provide a completed Form 13 – Notice of Intention to Leave to Ray White Gympie, giving at least 14 days’ notice before the End Date specified in your Tenancy Agreement. After submitting this form, your Relationship Manager will provide a vacate information pack to assist you in the process. Reach out directly to your Relationship Manager to obtain the Notice to Leave Form.

Refer to your Tenancy Agreement for comprehensive details regarding your vacating responsibilities.

All keys (including any copies) must be returned to Ray White Gympie in order to finalize your vacate. You will remain responsible for rental payments until a new tenant takes over the lease. Your Property Manager will keep you updated on the progress of finding a new tenant and the conclusion of your lease.

A vacate inspection will be conducted at the end of your tenancy. If the property has been returned in satisfactory condition, all outstanding payments have been settled, and the owner provides approval, your bond will be refunded promptly, subject to any deductions discussed.

Ensuring a Hassle-Free Vacate

Just as you expect to find a new property in excellent condition, we expect the property you are vacating to be returned to us in the same high standard, bearing in mind the entry condition report.

During the vacate process, you will be required to complete an Exit Condition Report, which will be compared to your entry condition report. Our office will provide this to you when necessary.

It’s common for tenants to return to the property after vacating to address outstanding cleaning tasks. This can create inconvenience and unnecessary delays in the bond refund process for both you and Ray White Gympie.

To mitigate this, we strongly recommend hiring professional cleaners who can efficiently handle what might otherwise take considerable time. Investing in professional cleaning services can be a great way to ensure your bond is refunded promptly and allow you to focus on settling into your new home rather than returning for additional cleaning.
